The paper problem

Where paper trip tickets break down.

Most small fleets start with a printed pad of trip tickets and a group chat. Both hold up until someone needs one particular ticket from last month.

  1. Three copies, three versions.The driver's copy, the office copy and the client's copy get filled in at different times, so the times and details don't always agree.

  2. Tickets ride in the cab.A ticket folded behind the sun visor can come back torn, soaked or not at all, and with it goes the only record of that drop-off.

  3. The receipt photo gets buried.A picture of the signed receipt sent to the group chat slides under a day of messages before anyone files it against the right trip.

  4. Billing waits for paper.A haul can't be billed until the signed receipt is back in the office, so every missing ticket holds up an invoice.

    Book it, and the ticket has a number

    Office staff enter the client, pickup, drop-off and cargo. The trip number exists from the first minute, so the office, driver and client all quote the same one.

  2. 02 · Track

    Follow the status, not the driver

    Each trip shows as booked, in transit or delivered, and today's trips sit together on one screen. Nobody has to phone the driver to ask how far along it is.

  3. 03 · Close

    Close it with the signed receipt

    At drop-off the driver photographs the signed receipt, and the photo attaches to that ticket. A delivered trip with its proof is ready to bill.

Not the government form

A trucking trip ticket isn't the government vehicle trip ticket.

Search for trip tickets in the Philippines and most results are about government vehicles. The name is the same, but the job is different.

  1. Government trip ticket.Under COA rules, a government vehicle may be used only for official business authorized by a trip ticket stating the destination, purpose and duration of travel. The Freeman reported this in 2015, citing COA Circular No. 75-6.

  2. Trucking trip ticket.A hauler's trip ticket records paid work for a client: what was loaded, who drove it, and when it arrived. It isn't finished until the receiver has signed for the load.
