Privacy policy
Effective date: 2 October 2026
This policy explains what Orvyn Solutions does with the details you give us through this website. It follows the Data Privacy Act of 2012 (Republic Act No. 10173), its implementing rules, and the rules of the National Privacy Commission.
Who we are
Orvyn Solutions is a Philippine company that builds web systems: ScrapTrack for junkshops, an office system for trucking businesses, and custom builds. For this website, we are the personal information controller. That means we decide how your details are used, and we are responsible for them.
This policy covers orvyn-solutions.com, the demo request form on it, and emails you send us. Our products have their own agreements, which cover the data our clients keep in them.
What we collect
When you request a demo, the form asks for:
- What you want to see: ScrapTrack, the Transport Management System or a custom build.
- Your full name.
- Your business name.
- Your email address.
- Your mobile or WhatsApp number.
- Your country.
- Anything you choose to tell us about your business. This one is optional.
We also record the date and time you sent the form. We need every field except the last one to set up your demo. Without them, we can't reach you.
Please don't put sensitive details in the optional note, such as health information, government ID numbers or bank details. We don't need them for a demo.
If you email us, we keep your email address and what you wrote.
When you open any page, our host receives the technical details every browser sends, such as your IP address, your browser type and the page you asked for. To stop spam, we also count how many demo requests come from each internet connection. For this we store a one-way code made from your IP address with a secret key. We never store the IP address itself.
This site is for businesses. We don't knowingly collect details from children.
How we use it
- To set up and run your demo, and to contact you about it.
- To send you an email that confirms we got your request.
- To prepare the quote that follows the demo, if you want one.
- To answer your questions.
- To keep the form safe from spam and abuse.
- To see, in total numbers, how people use the site, so we can improve it.
We don't sell your details. We don't add you to a mailing list or send you marketing emails. We don't make automated decisions about you.
Why we may use your details
The Data Privacy Act allows us to use your details on these grounds:
- Your request. You asked for a demo, and we need your details to take the steps you asked for before any contract.
- Your consent. You give it when you send the form. You can withdraw it at any time by emailing us.
- Our legitimate interests. We protect the form from spam and measure how the site is used. We do this without cookies and without storing your IP address.
If you withdraw your consent, we stop contacting you and delete your request, unless the law requires us to keep it.
How we contact you
We reply by email, phone call, text message, or a messaging app linked to your number, such as WhatsApp or Viber. We do this between 8 AM and 8 PM, Manila time. If we message you in an app, that app's own privacy policy also applies.
Who handles your details
Only the people on our team who deal with demo requests can see them. We also use these service providers. Each one gets only what it needs to do its work for us:
- Vercel hosts the website and runs the form. It also provides our site analytics.
- Supabase stores demo requests in our database.
- Resend sends the email that tells our team about your request, and the confirmation email you receive.
- Google Workspace runs our email inbox, where requests and replies arrive.
- Contentful holds the site's text and pictures. It gets nothing you type into the form. Your browser loads the site's pictures from it, so it sees technical details such as your IP address.
We don't share your details with anyone else, unless the law requires it, for example a court order.
Data stored outside the Philippines
Our service providers are based outside the Philippines, for example in the United States. Your details may be stored or handled on their servers in other countries. We choose providers that commit to protecting data. Wherever your details are processed, we stay responsible for them under Philippine law.
Cookies and analytics
We don't use cookies to track you, and we run no advertising trackers.
We use Vercel Web Analytics and Vercel Speed Insights. They count page visits and measure how fast pages load, without cookies. They see general details such as your country, browser and type of device. They also count a few actions, such as clicks on the book a demo buttons and which product a sent request was about. They never get your name, email address, phone number or anything you type.
The only cookie the site sets is for our own staff, when they preview new content before it goes live.
How long we keep it
- Demo requests, and our emails about them: up to 2 years after our last contact with you. Then we delete them. If you become a client, your agreement with us sets how long we keep your records.
- Spam check records: we delete these every day, once they are more than a day old.
- Our own server logs hold no names, email addresses or phone numbers. Our service providers keep their own technical and email logs for a short time, as their policies set out.
We keep details longer only when the law requires it.
How we protect it
- The site only works over an encrypted connection (HTTPS).
- Only our server can read or save demo requests. The database blocks all access from browsers.
- The keys to our database and email service stay on our server and are never sent to your browser.
- We store a one-way code made from your IP address, never the address itself.
- Our logs record what happened to each request, never your name, email address or number.
- Only the people who need it can sign in to the accounts that hold your details.
No system is perfectly secure. If a breach puts your details at risk, we will tell you and the National Privacy Commission within 72 hours of finding out, when the law requires it.
Your rights
Under the Data Privacy Act, you have the right to:
- Be informed about how we collect and use your details. This policy is part of that.
- Access the details we hold about you, and get a copy.
- Object to how we use your details, or withdraw your consent.
- Correct details that are wrong or out of date.
- Have your details erased or blocked, for example when we no longer need them or you withdraw your consent.
- Get your details in a common electronic format that you can take elsewhere. This is called data portability.
- Claim damages if you are harmed because your details were wrong, or were obtained or used unlawfully.
- File a complaint with the National Privacy Commission.
How to make a request
Our data protection officer handles privacy questions and requests. Send yours to sales@orvyn-solutions.com, with Privacy request in the subject line, and tell us what you want us to do.
We may ask you to confirm who you are first, for example by writing from the email address you used on the form. We will answer within 15 days. There is no charge.
If you are not happy with our answer, you can complain to the National Privacy Commission through privacy.gov.ph. We would like the chance to fix the problem first, so please write to us before you do.
Changes to this policy
We will update this policy when the way we handle your details changes. The effective date at the top shows when it last changed. If a change affects details you already gave us, we will email you before it applies.
